How do HeyLead and Ruler Analytics work?
Ruler Analytics is a UK-based closed-loop revenue attribution platform. Closed-loop attribution means following a lead all the way from the first click to the money in your CRM, then sending that result back to your marketing tools. Ruler tracks forms and phone calls, matches each lead to closed revenue in your CRM, can pass that revenue back to your ad platforms, and lets you compare channels with multi-touch models.
HeyLead is lead-source tracking software that shows which channel, campaign and page brought every lead, including leads from AI assistants. It uses one script tag or a WordPress plugin, captures your website forms automatically and saves each lead with its first touch, last touch and every visit in between. You mark leads as New, Qualified, Customer or Lost and add a deal value, and the dashboard shows revenue by channel.
The short version: Ruler Analytics is the deeper tool and HeyLead is the simpler one. Ruler is built to feed revenue data into a marketing team's ad strategy. HeyLead is built to tell a business owner which marketing brings leads and customers, without a project to set it up.
Who is each tool built for?
Ruler Analytics is built for marketing teams. Its strengths, such as closed-loop revenue, multi-touch models and ad platform syncing, matter most when someone's job is to move ad budget between campaigns based on revenue. A team spending heavily on Google Ads and Facebook, with a sales team closing deals in the CRM, gets real value from that depth.
HeyLead is built for business owners and small teams: local services, small businesses, agencies managing many client sites, and SaaS teams who want first and last touch on every demo request. These buyers usually want to answer a few plain questions. Which channels bring leads? Which campaigns bring customers? Did that new landing page work? HeyLead answers those in a dashboard with a plain-English summary. If that sounds like you, the small business solution page shows how owners use it.
How much setup does each tool need?
HeyLead takes about 5 minutes to set up: add one script tag or install the WordPress plugin, and forms are detected and captured automatically. You don't need hidden fields to see lead sources in HeyLead. A live install checker confirms everything is working. It runs on WordPress, Webflow, Wix, Squarespace, Shopify and custom sites, and captures Gravity Forms, Elementor, Contact Form 7, Typeform and Jotform. The how it works page walks through each step.
Ruler Analytics does more, so setup involves more. Closed-loop reporting needs your CRM connected so Ruler can match leads to closed revenue, call tracking needs to be configured if you use it, and sending revenue back to ad platforms needs those accounts connected. Check Ruler's docs and onboarding for the exact steps.
| Setup step | HeyLead | Ruler Analytics |
|---|---|---|
| Install a script or plugin | Yes, about 5 minutes | Yes |
| Connect a CRM for revenue | Optional | Needed for closed-loop data |
| Set up call tracking | Not available yet | Available |
| Connect ad platforms for revenue | Not available | Available |
| Contract before you start | No, monthly | 12-month agreements common |
What do you see in each tool's reports?
Ruler Analytics reports show revenue against marketing channels, with multi-touch models that share credit across the touchpoints before a sale. Because Ruler pulls closed revenue from your CRM, the reports can show which campaigns brought deals worth the most, not just which brought the most leads. HeyLead does not offer multi-touch revenue models.
HeyLead's reports focus on what an owner checks each week. The dashboard shows leads, customers and revenue by channel, campaign and landing page, with a plain-English summary. Each lead has a page showing first touch, last touch, the full journey of visits, device and country, so you can see exactly how one person found you. The guide to reading your HeyLead dashboard explains each report.
HeyLead's revenue figures come from the deal values you add when you mark a lead as a Customer, or that you set through your own workflow. That is lighter than Ruler's closed-loop link to CRM revenue, but it is often enough for a small business to see which channels pay for themselves.
How do they handle leads from ChatGPT and AI assistants?
HeyLead files visits from AI assistants under an AI Referral channel and names the assistant: ChatGPT, Perplexity, Gemini, Copilot or Claude. HeyLead checks for AI assistants before ad click IDs, UTM tags and the referring website, so these leads are not lost in Referral or Direct. The AI Lead Tracker page shows the report.
Check Ruler's docs for how it currently classifies traffic from AI assistants, as attribution tools are adding this quickly.
What about phone calls and ad platforms?
Ruler Analytics is clearly ahead on phone calls and ad platforms. Ruler tracks calls alongside forms, so a lead who rings you after clicking an ad is credited to that ad. It can also send closed revenue back to ad platforms, so those platforms can see which campaigns brought paying customers, not just form fills.
HeyLead does not track phone calls yet (it is on the roadmap), does not track live chat and does not sync conversions to ad platforms. HeyLead does read ad click IDs, including gclid, gbraid, wbraid, msclkid, ttclid, li_fat_id and twclid, so a form lead from a Google, Microsoft, TikTok, LinkedIn or X ad is credited to the right channel. If phone calls are a big part of your business, weigh this gap honestly before choosing HeyLead.
How do they fit with your CRM?
Both tools work with your CRM, but in different directions. Ruler pulls closed revenue out of your CRM to complete its reports. Check Ruler's docs for the list of CRMs it supports.
HeyLead pushes each lead and its source into your CRM. It works with HubSpot, Zoho CRM, Salesforce, Pipedrive and Google Sheets, plus webhooks and Zapier for anything else, and it sends email notifications for new leads. Hidden fields are optional, for when you also want the source written into your CRM through your form tool. See all HeyLead integrations.
How do the pricing models compare?
Ruler Analytics is priced by traffic and integrations. Listed entry pricing varies by source, at around £179–199 per month or about $400 per month for smaller sites, and 12-month agreements are common. Listings also say there is no free trial. Check Ruler's pricing page for a current quote.
HeyLead has flat monthly plans. Single-site plans cost $29, $49, $99 per month for 1,000, 2,000 or 5,000 leads, and multi-site plans for agencies start at $199/month with unlimited leads. The 14-day trial costs $2.99, and you can cancel anytime. There is no free plan.
Can you switch from Ruler Analytics to HeyLead?
You can switch from Ruler Analytics to HeyLead, but check two things first. If you are on a 12-month agreement, plan the move for when it ends. And if you rely on Ruler for call tracking or for sending revenue back to ad platforms, HeyLead will not replace those parts today, so decide whether you still need them.
If HeyLead covers what you need, the switch is straightforward:
- Start the 14-day HeyLead trial and add the script tag or WordPress plugin alongside your current setup.
- Send a few test leads through your forms and check that each one arrives with the right channel, campaign and landing page.
- Connect your CRM through the HubSpot, Zoho CRM, Salesforce, Pipedrive or Google Sheets integration, a webhook or Zapier, so new leads keep arriving with their source.
- Run both tools side by side for a few weeks and compare the channel totals.
- Remove the old tracking once you are happy with what HeyLead shows.
Some teams outgrow HeyLead in the other direction: they start with simple lead source tracking, then add a bigger ad budget, a sales team and phone leads. At that point a closed-loop platform such as Ruler Analytics can be worth the extra cost and setup. HeyLead's first-touch and last-touch data gives you a clean history of where leads came from either way.
Which should you choose?
Choose Ruler Analytics if you have a marketing team, a meaningful ad budget and phone leads, and you need closed-loop revenue sent back to your ad platforms with multi-touch models. Ruler does those things and HeyLead does not.
Choose HeyLead if you are a business owner or small team whose leads mostly come through website forms, and you want to see where every lead came from, including AI assistants, in a plain dashboard. You can be set up in minutes and pay monthly, at a fraction of the cost. Compare HeyLead with WhatConverts if call tracking matters but Ruler feels like too much.
